Scope of Position: Provide assistance to the Finance & HR Specialist and Director of Operations, including processing accounts payable, cash receipts, general ledger entries, and employee time sheets. Assist with maintaining encumbrance, vendor, and chart of account information in accounting system. Assist with employee, vendor and customer accounting needs as necessary. Examples of Work: •Accounts Payable: Match accounts payable invoices with purchase orders, confirm authorization, and assign expense codes; prepare employee benefit invoices; confirm taxpayer identification information; enter invoices in accounting system; post invoices and process checks; deliver checks to authorized signers, and distribute checks to recipients. •Cash Receipts: Copy and distribute Work for Art cash receipts and pledge forms; prepare weekly bank deposit; code Work for Art cash receipts; enter all cash receipts entries into accounting system. •Employee Timesheets: Collect and enter time sheet hours into Excel database. •General Journal: Enter reclassifications and other adjustments in the general ledger. •Encumbrances/Grants: Assist with data entry of grants, encumbrances, payments and balances. •Month-End Process: Assist with month-end closing processes, including reconciling postage and petty cash accounts. •Work for Art (WFA) Processing: Review, format, and verify accuracy of WFA campaign pledge reports against donor pledge forms; communicate with WFA staff regarding outstanding items; track adjustments as needed. •IRS and State Reporting: Assist with processing 1099-MISC reports; assist with generation of worksheets and schedules for Form 990 and CT12. •Accounting Record-keeping: Assist with maintaining accounting records and files. Knowledge, Skills and Abilities •Working knowledge of accounting principles, with at least three years bookkeeping experience. •Accounts payable and receivable experience. •Experience with accounting software, spreadsheet and word processing programs; knowledge of Sage Fund Accounting Software a plus. •Analytical thinking, attention to detail, and problem-solving ability. •Strong written and verbal communication skills. Compensation and Benefits This is a part time (32 hrs/wk), non-exempt position. Pay rate is dependent on experience and qualifications, plus benefits.
